Operations Assistant Manager (Japanese Speaker)

Overview

Operations & Finance Assistant — Future Operations Manager Track. Reporting to : Chief Operating Officer (COO). Headcount : 1. Target start date : before Oct. 2025. Location : Bayan Lepas Industrial Park, Penang, Malaysia.

Key Responsibilities (first 24 months)

  • Operations Support

    • Track production plans, inventory levels, delivery milestones

  • Draft & refine SOPs; drive continuous-improvement projects
  • Finance Collaboration

    • Assist with month-end closing, cost allocations, variance analysis

  • Prepare management reports and rolling forecasts
  • Data & Systems

    • Build KPI dashboards in Excel / Power BI

  • Maintain master data and user training in Odoo ERP
  • Cross-functional Liaison

    • Act as language bridge (Japanese / Chinese / English) with HQ, vendors, clients

  • Document and follow up on Kaizen or lean initiatives

    • Years 3-5

    Take full ownership of capacity, cost, delivery KPIs and lead an operations team as Operations Manager.

    Requirements

  • Education

    • Bachelor’s degree or above—any major; Accounting, Industrial Engineering or Operations Management preferred

  • Languages

    • Japanese JLPT N2 (or higher)

  • Experience

    • 1-3 years in manufacturing, logistics, or finance (strong fresh graduates welcomed)

  • Technical skills

    • Advanced Excel; knowledge of basic financial statements

  • Soft skills

    • Analytical mindset, data-driven, proactive communicator, high ownership

    Compensation & Benefits

  • Base salary : MYR 4,100 – 5,000 per month (includes Japanese allowance up to MYR 1,500)
  • Annual merit increase : 3 – 5 % (performance based)
  • Performance bonus : 0.5 – 1.5 month salary
  • Statutory benefits : EPF employer 12-13 %, SOCSO / EIS, 14+ days annual leave
  • Extras :

    • Management / language training subsidy (up to MYR 3,000 per year)

  • Annual health screening, commuting allowance
  • Short-term assignments to Japan HQ or sister plants

    • Career Roadmap

  • 0-2 yrs : Operations & Finance Assistant — Master SOPs, help to build and monitor Business Plan and Production Plan.
  • 2-3 yrs : Assistant Ops Mgr — Lead mini-projects, mentor juniors, own cost reports and budget.
  • 3-5 yrs : Operations Manager — Manage team & KPIs, liaise with HQ, drive cost & efficiency.
