Role Purpose
- Executive Assistant, Operations supports in administrative tasks and overseeing contract-related processes. This includes tasks like managing calendars, coordinating travel, preparing documents, and ensuring contracts are executed and managed effectively.
- The Executive Assistant also support the Facilities Operation team in upkeep record of a facility and assets including preventive maintenance and refurbishment. They also support the Facilities Operations team in handling minor maintenance issue.
- Ensuring duties are completed accurately and delivered with high quality and in a timely manner.
Accountabilities
Contract Management
Support in managing facilities maintenance and leasing contracts.Maintain accurate records of contracts including tracking renewal dates and ensuring timely renewals.Maintaining a centralized contract database for easy access and retrieval.Monitoring contract deadlines, deliverables, and milestones.Administering and managing financial records, invoices, credits and final accounts as per project requirement.Administration
To manage facilities utilities and tenant monthly billings.Provide administrative assistance for internal meetings, documentation, reporting, and procurement tasks as directed by the superior.Ensure all financial processes are in accordance with procurement policies and timelines.Technical Support
Conduct regular site walkabouts with facilities operation team to evaluate maintenance issues, identify areas for improvement, and report findings to the Operations Manager for timely resolution.Support in handling minor maintenance and repairs at facilities.Work closely with vendors and monitor performance to meet the expectations.Perform other responsibilities or tasks as assigned by superior to support departmental goals and operational efficiency.
