Job Description :
As an Operations Senior Executive at our Early Childhood Kindergarten company, you will play a key role in overseeing and coordinating the daily operational needs of the business. In addition to managing procurement and inventory functions, you will lead a small operations team, ensure the smooth running of our HQ and branches, and support the company's facilities and maintenance requirements. This role requires a balance of strategic thinking, hands-on problem-solving, and people management skills.
Responsibilities :
Procurement & Inventory Management
- Source and purchase supplies, materials, and equipment required for kindergarten operations.
- Negotiate with suppliers for the best value in terms of cost, quality, and delivery.
- Manage stock levels, track usage, and ensure timely replenishment to avoid disruption.
- Implement proper inventory control to reduce wastage and improve efficiency.
Operations & Team Leadership
Lead and supervise a small operations team, delegating tasks and monitoring performance.Provide guidance, coaching, and support to ensure team members meet operational goals.Develop SOPs and operational workflows to improve consistency and efficiency.Coordinate with different departments (academic, HR, customer service, etc.) to support operational needs.Facilities & Maintenance
Oversee HQ facilities and ensure the workplace is safe, well-maintained, and fully functional.Manage repair and maintenance works, liaising with contractors / vendors when needed.Be hands-on in troubleshooting minor maintenance issues (electrical, plumbing, equipment, etc.).Monitor and ensure compliance with safety, health, and environmental standards.Supplier & Vendor Management
Build and maintain strong relationships with suppliers and contractors.Monitor vendor performance and ensure service-level agreements are met.Handle disputes or issues with suppliers and propose solutions effectively.Cost & Compliance Management
Monitor and control operational budgets, ensuring cost-effectiveness in procurement and maintenance.Keep accurate records of procurement transactions, contracts, and maintenance schedules.Ensure compliance with company policies and regulatory requirements.Process Improvement & Reporting
Continuously review operational processes to identify areas of improvement.Propose and implement innovative solutions to reduce costs and enhance efficiency.Prepare regular reports on procurement, inventory, and operational performance for management review.Qualifications
Bachelor's degree in Business Administration, Operations Management, Supply Chain, or related field.Minimum 1-3 years of experience in procurement, operations, or facilities management.Strong leadership skills with experience managing a small team.Good problem-solving and troubleshooting abilities, especially in facilities / maintenance matters.Proficiency in procurement / operations software and MS Office.Proficiency in using Google Sheet and any Productivity Software.To conduct weekly meeting with team memberStrong interpersonal and communication skills, able to work cross-functionally.Hands-on, resourceful, and proactive in ensuring smooth daily operations.Excellent negotiation, organizational, and time management skills.
