The Event Executive is responsible for supporting the planning, coordination, and execution of events, ensuring they meet client expectations and company standards. This role involves liaising with clients and vendors, preparing proposals and quotations, overseeing event logistics, and providing on-site support.
Key Responsibilities
- Assist in developing event concepts, themes, and proposals.
- Prepare detailed proposals and quotations tailored to client needs.
- Coordinate with vendors, suppliers, venues, and partners to secure necessary services.
- Assist in preparing event schedules, floor plans, and layouts.
- Attend client meetings and maintain strong relationships to understand requirements.
- Provide timely updates and manage expectations throughout the event process.
- Supervise event set-up, execution, and tear-down.
- Ensure all elements meet quality and safety standards.
- Handle last-minute issues efficiently.
- Prepare event budgets and track expenses to ensure cost control.
- Maintain proper documentation, agreements, and post-event reports.
Additional Duties
Conduct site visits and inspections as needed.Stay up-to-date with trends and new ideas to enhance event experiences.Support marketing or social media teams with content related to events.Job Requirements
Job Requirements : Event Executive
Diploma or Degree in Event Management, Marketing, Mass Communication, Business, or related field.At least 1–2 years of experience in event planning or coordination is preferred.(Fresh graduates with strong internship or part-time event exposure may also be considered.)
Good understanding of event planning processes, vendor management, and on-site coordination.Able to prepare proposals, quotations, and basic event budgets.Familiar with Microsoft Office (Excel, Word, PowerPoint); Canva or simple design tools is an advantage.Personal Attributes
Strong organizational skills and attention to detail.Excellent communication and interpersonal skills — comfortable dealing with clients & vendors.Creative thinker with a “can-do” attitude, able to solve problems on the spot.Willing to work flexible hours, including weekends or evenings, depending on event schedules.Other
