JOB PURPOSE
The System Application Specialist cum Administrator is responsible for the overall management, administration, and continuous improvement of the school’s Management Information System (iSAMS) and other critical business applications. This role ensures the secure, effective, and user-oriented operation of iSAMS, including data integrity, role-based access, system configuration, reporting, and user support. The specialist also supports the integration of iSAMS with other platforms and liaises with academic and operational teams to align system functionality with school needs.
Key Responsibilities
- Ensure the secure, reliable, and optimal performance of the school’s Management Information System (iSAMS), including related tools and platforms.
- Oversee the day-to-day administration, including user account setup, role-based access controls, and ongoing data security protocols.
- Configure modules for Assessment tools, report templates in iSAMS to align with academic and school operations needs.
- Maintain data integrity and ensure appropriate access levels for all users in alignment with their responsibilities.
- Liaise with system providers for timely updates, enhancements, troubleshooting, and user training.
- Provide technical support for system-related issues, and ensure regular data backups, system maintenance logs, and recovery procedures are in place and up to date.
- Lead the continuous improvement of MIS capabilities by identifying opportunities to streamline workflows, automate reporting, and enhance user experience.
- Develop and publish custom data analysis tools, dashboards, and live views to support decision-making by leadership team.
- Collaborate with internal teams and external vendors to support the integration of iSAMS with other platforms, such as CALMS, TAMS, or cashless systems.
- Support additional applications related to school operations (e.g., parent portal, assessment tools, reporting systems).
- Monitor data quality across systems, ensuring consistency, accuracy, and GDPR / PDPA compliance.
- Manage integrations with third-party systems such as finance, learning management systems, and HR platforms.
- Manage and maintain other business-critical applications used by academic or administrative departments.
- Liaise with software vendors (e.g., iSAMS) for troubleshooting, upgrades, and new feature rollouts.
- Monitor system performance and proactively identify opportunities for system enhancement and automation.
- Plan and manage application updates and testing environments with minimal disruption to users.
- Coordinate with ICT Infrastructure Manager for system integration, access security, and backups.
- Ensure compliance with data protection policies (e.g., PDPA) and internal data governance standards.
- Maintain detailed records of user activity logs, data access, and system changes for audit purposes.
- Conduct regular data checks, cleanups, and validations to ensure consistency and reliability of data in the system;
- Ensure that data is accurately synced with other school systems (e.g., CRM Funnel, GL Assessments, CAT4).
- Act as liaison and work closely with academic, administrative, and technical teams to gather requirements, manage change requests, and implement system improvements.
- Participate in system development projects and contribute to strategic planning of digital tools and platforms.
- Provide training, technical and procedural guidance on using to users and respond to user queries related to the SMS and escalate technical issues as needed.
- Manage issue resolution Responsible for investigating any discrepancies, preparing root cause analysis and proposing preventive measures.
- Develop and publish dashboards, tracking sheets, and analytical reports that visualize learner progress and school performance.
- Collaborate with department heads to support data-driven decisions and interventions.
- Utilize reporting tools such as SSRS or Power BI (where applicable) to generate advanced reports.
- Serve as first-level technical support for user issues related to MIS or reporting tools.
- Plan and deliver training sessions for staff on key iSAMS modules and reporting features.
- Document workflow, maintain documentation, user manuals, and SOPs for MIS usage and workflows.
Job Specification – Qualification & Experience
Bachelor’s degree in Information Systems, Education Technology, Computer Science, or related discipline.3-5 years of relevant working experience in data analytics and familiarity with School Management systems and iSAM in the education industry an added advantage.Experience with academic reporting cycles, assessment systems, and performance tracking tools.Exposure to data integration and automation workflows (e.g., CRM, APIs, Excel-based automation) is advantageous.Well‑versed in database design, data modelling, and data warehousing. Familiarity with MSSQL, NoSQL, and other database technologies is essential.Analytical thinking, ability to draw insights from data, and solve complex problems, familiar with data mining techniques.Communicate confidently in a professional manner.Collaborative with good cross‑functional working relationship.Competencies (Behavioural)

If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s / he must report any concerns to the School’s / Designated Safeguarding Lead or to the Principal or indeed to the Safeguarding Governor so that a referral can be made accordingly to the relevant third party services.
