Document Control and Compliance Executive
Role Description
Document Control
- Act as central document controller (DC) for the organization.
- Liaise with Document PICs from each department to ensure proper document creation, review, approval, and submission.
- Maintain the Document Master List and ensure updates are communicated across departments.
- Manage the full lifecycle of controlled documents (creation, approval, revision, distribution, archiving, disposal).
- Ensure obsolete documents are withdrawn and replaced with the latest approved versions.
- Provide guidance and training to departmental PICs on document control procedures.
- Maintain centralized electronic and hard-copy filing systems.
Compliance
Ensure documents and records comply with ISO 9001 : 2015 requirements and company QMS.Support internal and external audits by coordinating with departmental PICs to provide records and evidence.Monitor compliance across departments through regular document checks.Track corrective and preventive actions (CAPA) and ensure timely closure, for QMS department and company-wide documents.Update policies, SOPs, and work instructions in line with changes in standards or regulations.Promote awareness of compliance and good documentation practices throughout the organization.Key Performance Indicator
Timeliness of document updates and distribution.Zero instances of obsolete documents in circulation.On-time submission of departmental documents via PICs.Audit readiness and nonconformity closure rate.Effectiveness of liaison between central DC and departmental PICs.Qualifications
Diploma / Bachelor’s Degree in Quality Management, Business Administration, or related field.Preferable 1 year experience in document control or quality compliance.Experience as a DC or working across multiple departments is an advantage.Familiarity with ISO 9001 : 2015 audits and certification process.Strong knowledge of ISO 9001 : 2015 requirements for documentation.Proficient in Microsoft Office and electronic document management systems.Strong coordination, follow-up, and organizational skills.Ability to guide and support departmental PICs on documentation compliance.Detail-oriented.Strong integrity in handling confidential information.Good interpersonal and communication skills.Ability to work independently and collaboratively with multiple stakeholders.Proactive and committed to continuous improvement.Preferable to have ISO 9001 : 2015 certification or ISO9001 : 2015 Internal Auditor certification.Starting salary : RM2,200 to RM2,500 based on experience.Lunch providedTraining is providedAchievement bonuses are awardedSalary increment and bonus provided based on KPI review.Medical claims (Medical claim)Panel clinics are provided.Annual leave, Sick leave, Maternity leave, Paternity leave, and Marriage leave are provided.Build a career with us.Happy working environmentEmphasize the Baraqah culture in the workplaceOpportunity to show the talents and skills to solve the problems and tasks that have been entrusted.Seniority level
