The Assistant Manager – Senior Leadership Team provides high-level executive support to the Principal and leads the support functions across Primary, Secondary and Reprographics offices. This role ensures seamless operational support, efficient communication and effective coordination of leadership activities, while developing team capability to deliver excellent support across the school.
Key Responsibilities
Manage the Principal’s calendar, meetings and appointments with accuracy and forward planning; arrange travel and itineraries when required.
Handle all incoming and outgoing correspondence, ensuring appropriate prioritisation, tracking and documentation.
Draft, review and coordinate emails, official letters, school newsletters, communications and reports on behalf of the Principal, ensuring clarity and accuracy.
Prepare and organise documentation for approvals, feedback and decision-making.
Organise management and board meetings; attend internal and external meetings when required, recording and distributing high-level minutes and tracking follow-up actions. Monitor deadlines and ensure timely completion of reports and submissions.
Welcome and support learners, parents, visitors and staff seeking access to the Principal. Manage calls, enquiries and requests with professionalism, confidentiality and excellent customer service. Maintain a professional and efficient communication channel between the Principal’s office and all stakeholders.
Maintain high standards of organisation, confidentiality and office protocols within the Principal’s office, ensuring smooth and efficient daily operations.
Lead, guide and supervise administrative personnel across Primary, Secondary and Reprographics offices. Develop team capability to ensure efficient administrative support for the school.
Oversee school systems to ensure the accuracy of student data and compliance with safeguarding requirements.
Planning and coordination of whole school events and key leadership activities.
Support school-wide administration when required.
Perform other responsibilities as assigned by the Principal.
Job Requirements
Diploma in Communications, Business Administration or a related field; or a minimum of 3 years’ experience as a PA / Executive Secretary supporting senior leadership (experience in the education sector preferred)
Strong proficiency in Google Workspace (Docs, Sheets, Slides, Drive) and general digital tools.
Mandarin proficiency is preferred as the role occasionally involves providing translation support.
