Administrative cum Visa Processing Officer

We are seeking a highly organized and detail‑oriented individual to join our team as an Administrative cum Visa Processing Officer. In this dual‑role position, the successful candidate will provide administrative support to the team while also assisting the processing of visa applications for students and parents. This is an excellent opportunity for someone looking to gain experience in administrative tasks and immigration‑related processes.
Key Responsibilities
- Assist with the preparation and submission to MOE for student support letter.
- Assist with the preparation and submission of visa applications for Students and Guardians.
- Liaise with relevant government authorities with regards to Student and Guardian Visa.
- Ensure timely submission of necessary documents (passport copies, photographs, financial documents, etc.) for visa applications.
- Monitor and track the progress of visa applications to ensure compliance with deadlines.
- Maintain up‑to‑date records of all visa applications, approvals, and rejections.
- Provide guidance to internal employees and guardians / parents regarding visa requirements, application processes, and related queries.
- Review and ensure that all required documents for visa applications are complete and accurate.
- Perform general administrative duties, including data entry, filing, and organizing documents.
- Answer and direct phone calls, emails, and other inquiries.
- Schedule meetings, manage calendars, and assist in coordination of meetings.
- Prepare and process internal and external correspondence, reports, and documents.
- Assist in maintaining filing systems (physical and digital) to ensure efficient access to necessary documents.
- Support team members with ad‑hoc administrative tasks and projects as required.
Job Specifications
Minimum Academic / Professional Qualification : Diploma or Bachelor's degree in Business Administration, Education, International Relations, or a related field.Minimum of 1–2 years' experience in visa processing, immigration services, or student services, ideally in an educational institution.Related Experience and Competencies
Good understanding of Malaysian immigration policies for international students.Excellent communication skills in English; proficiency in Bahasa Malaysia and other languages is an advantage.Strong organizational and administrative skills with attention to detail.Able to multitask and prioritize in a dynamic school environment.Proficient in Microsoft Office (Excel, Word, Outlook) and student information systems.Strong interpersonal skills and a service‑oriented mindset.Be careful – Don’t provide your bank or credit card details when applying for jobs.
