Role Description : Procurement Executive

Location : Telokmas, Melaka

Employment Type : Full-Time

We are looking for a proactive and detail-oriented Procurement Executive to manage purchasing activities, supplier relations, and ensure timely delivery of materials that meet the company's quality, food safety, and regulatory requirements. This role plays a critical part in supporting production schedules, maintaining compliance with Halal, QMS, FSMS, and ISO standards, and driving procurement efficiency.

Education, Qualifications & Training

  • Minimum a Bachelor's Degree in Marketing, Supply Chain, Business Studies, Administration, Management, or equivalent
  • Professional qualifications in procurement or supply chain management are an advantage

Experience, Skills & Specialised Knowledge

  • Minimum three (3) years of working experience in a similar capacity in the manufacturing industry
  • Computer literate; proficient in MS Office applications
  • Good command of English, Chinese, and Malay
  • Strong negotiation, communication, and supplier management skills
  • Ability to travel as required

    • Key Accountabilities / Responsibilities / Activities

  • Interpret inventory requests, production schedules, and purchase requisitions to coordinate purchasing activities based on company demand
  • Monitor supplier quality and timeliness of deliveries; follow up on purchase orders and communicate status to internal departments
  • Participate in contract negotiations within authorized spending limits and source new qualified suppliers
  • Evaluate supplier performance on quality, pricing, and delivery standards, ensuring compliance with company expectations
  • Coordinate with suppliers and Quality & Food Safety Department for product sample verification
  • Process clearance documents for imported raw and packaging materials according to SOP
  • Issue Purchase Orders as per approved requisitions and ensure Halal Certificates of purchased items are up to date
  • Collect quotations, product specifications, and MSDS prior to purchasing for food safety confirmation
  • Prepare and analyze data to meet QMS & FSMS objectives
  • Maintain accurate quality and purchasing records in line with SOP requirements
  • Finalize purchase records in the system, verify invoices, and coordinate with Finance for payments
  • Update approved supplier lists and ensure Vendor Survey Forms are completed
  • Conduct monthly stock takes and monitor stock activity in the system
  • Manage SST exemption compliance as per SOP
  • Ensure personal hygiene, safety, environmental, and 5S implementation
  • Contribute to Corporate Social Responsibility (CSR) initiatives
  • Perform other duties as assigned from time to time

    • Key Performance Indicators (KPIs)

  • Achieve 95% annual on-time delivery of raw materials, packaging, tools, equipment, machinery, and services
  • Ensure 100% Halal compliance for all procured items
  • Complete work on time with zero customer complaints or product returns
  • Reduce wasted time in procurement processes
  • Ensure compliance with company policies, including Halal (JAKIM & MUI), HACCP, ISO 9001 : 2015, GMP, 5S, and Safety requirements
  • Participate actively in risk assessments and report safety incidents or near misses promptly
  • Maintain personal hygiene and comply with company quality and food safety policy

    Pay : RM2, RM3,000.00 per month

    Work Location : In person
