The Client Operations Officer is responsible for preparing and processing Fund Distribution Services transactions according to defined procedures, while meeting client service level agreements and team KPIs / KQIs. The role focuses on accuracy and timeliness of data sent to Fund Managers and involves collaboration with other teams within the Shareholder Services department and the broader organization. The Officer will assist the Supervisor to lead the team and serve as the point of contact in the supervisor’s absence to ensure complete shift coverage. Working hours :
3pm - 12am Responsibilities
Generate and dispatch regular (SLA) and ad-hoc reports upon request from internal or external parties. Respond to ad-hoc report requests from Fund Accounting, Unit Pricing and other departments. Generate distributions, process payments and ensure timely reporting to clients. Generate the Regular Savings Plan and process direct debit files. Process and check functions dependent on file uploads and extracts to ensure deadlines are met (including daily upload of price files and SWIFT transaction files). Address errors and exceptions of dependent file uploads and extracts. Provide clear and concise internal communications as necessary (confirm uploads or transfers and notify delays to relevant teams). Provide high-quality and professional client service. Maintain data integrity and review client workflow queues to ensure items are actioned within SLA. Ensure ongoing productivity during staffing fluctuations (holiday periods, sick leave, etc.) by providing back-up relief for absent staff or high-volume periods. Complete necessary internal or external training programs in a timely manner. What you need to succeed
Must-have
1 year of Transfer Agency or financial services industry experience in an operations environment. Good written and verbal communication skills, initiative, and strong attention to detail. Good interpersonal skills and ability to work with agents and internal departments to achieve team goals. Strong organizational skills and ability to prioritise workloads to meet tight deadlines. Nice-to-have
Experience in business administration or relevant operational knowledge. University degree or equivalent desirable. Relevant systems knowledge, including Excel and other Microsoft Office applications. What’s in it for you?
