Manage and maintain executives’ schedules, appointments, and travel arrangements.
Screen calls, emails, and correspondence, responding or redirecting as appropriate.
Prepare reports, presentations, and documents for meetings.
Coordinate and organize meetings, conferences, and events.
Assist in preparing agendas and taking minutes during meetings.
Handle confidential information with utmost discretion.
Liaise with internal departments and external stakeholders on behalf of management.
Track action items and follow up on pending tasks to ensure deadlines are met.
Manage personal tasks for management as required, including travel itineraries and personal appointments.
Requirements :
- Minimum (Diploma / Bachelor’s degree) in Business Administration, Management, or a related field.
- Proven experience as a Personal Assistant or Executive Assistant to senior management.
- At least 1 year of experience in company secretarial (COSEC) work.
- Fluent in Chinese (Mandarin) and English, both spoken and written.
- Excellent organizational and time-management skills.
- Ability to accurately prepare and write meeting minutes.
- High level of discretion and confidentiality.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office tools.
- Ability to multitask, prioritize, and work under pressure.
- Professional demeanor and proactive problem-solving attitude.
