Position Summary :
The role is responsible for managing all aspects of business and advertisement licensing, tenancy and lease renewals, and administrative support. This includes ensuring timely application and renewal of various licenses, maintaining compliance with regulatory bodies, managing lease agreements, and coordinating with internal and external stakeholders. The position also involves maintaining accurate records, preparing reports, and supporting daily administrative operations to ensure smooth and compliant business practices.
Key Responsibilities :
Business & Advertisement Licensing
Manage end-to-end application and renewal processes for business and advertisement licenses.
- Liaise with local authorities and regulatory bodies (e.g. Dewan Bahasa dan Pustaka), as well as internal departments, to ensure timely submissions and full compliance.
- Maintain accurate records and monitor the status of all licenses, permits, and certificates.
- Coordinate with marketing, design, and operations teams to ensure advertisements comply with legal and regulatory requirements.
Handle various business-related license applications.
Tenancy & Lease Management
Track and monitor tenancy agreement expiry dates and initiate renewals in advance.
Negotiate lease terms and conditions with landlords in accordance with company policies.Coordinate with legal, finance, and facilities departments to finalize agreements and ensure proper documentation.Maintain organized filing systems for tenancy agreements, letters of offer, and related correspondence.
Administrative & Reporting Duties
Prepare periodic reports on the status of licenses, tenancy agreements, and rental renewals.
Perform general administrative duties and provide support functions as needed.Update and maintain filing records of transactions and documentation.Carry out daily data entry into internal systems.Follow up on correspondence and emails with mall management and external parties.Support various agreement preparations and document reviews.Perform any other tasks as assigned from time to time.Qualifications :
Degree / Diploma in any relevant field of studyMinimum 3 years of working experienceExcellent at writing emails, good communication skillsAble to communicate in English and Mandarin fluently to effectively communicate with Mandarin-speaking clients.Able to work in a fast-paced environmentGood computer literacyMust be able to work at Puchong
