School Operations Support
- Coordinate scheduling of student, parent, and faculty meetings with the Principals.
- Support the organization and documentation of school-wide initiatives, assemblies, and special events.
- Track and compile data on student progress, attendance, and behavior as requested by the Principals.
- Track faculty attendance, maintaining accurate daily records and following up on absences or coverage needs.
- Assist with the preparation and distribution of reports, surveys, and internal communications.
- Serve as the initial point of contact for parents and visitors to the Secondary Office, directing inquiries appropriately.
- Support the onboarding process for new families, including communication, orientation materials, and transition support.
- Order supplies for the Secondary office in a timely and efficient manner.
Liaison and Communications
Help organize and facilitate secondary school events, including Back to School Night, Parent Teacher Conferences, student assemblies, and faculty meetings.Serve as a point of contact between the Principals and parents, students, and staff.Serve as a point of contact between the Principals and other school divisions.Provide translation support for parent meetings and written communication when requested.Help prepare presentations, reports, and communication materials for internal and external audiences.Support the planning and communication of special programs (e.g., MAP testing, student orientation, parent-teacher conferences).Ensure timely follow-up and tracking of action items from meetings, communications, and school events.Administrative Duties
Maintain up-to-date records for students and staff, including schedules, reports, and correspondence.Manage the Principals' calendars, scheduling appointments and ensuring timely reminders.Support the coordination of professional development sessions including preparing presentations, handouts, and resources to support the work of the Principals.Provide general office support, including drafting correspondence, filing, and document management.Qualifications :
Diploma / Degree in Business Administration, Office Management, or related field (preferred)Minimum 2 years' experience, ideally in an international school settingStrong organizational, time-management, and multitasking skills with attention to detailHigh level of professionalism, discretion, and confidentialityCulturally sensitive with a global outlookExcellent verbal and written communication in English; Mandarin, Korean, or Malay is an advantageProficient in Google Workspace (Docs, Sheets, Slides) and familiar with PowerSchool
