Human Resource Assistant
to join our growing team. This role will support the HR department in managing daily operations, maintaining accurate records, and assisting in staff-related matters to ensure smooth and efficient HR processes.
Role Overview
The
Human Resource Assistant
will be responsible for providing administrative and operational support to the HR department. You will assist in recruitment, onboarding, employee records management, payroll support, and training coordination. This role is ideal for an organized, people-oriented individual with a passion for supporting employee engagement and ensuring compliance with HR policies and procedures.
Key Responsibilities
Recruitment & Staffing
- Assist in posting job advertisements, screening resumes, and scheduling interviews.
- Support onboarding processes including preparation of offer letters, employment contracts, and new hire documentation.
- Coordinate orientation sessions and ensure smooth integration of new employees.
HR Administration & Records
Maintain accurate and up-to-date employee records (personnel files, leave, medical claims, attendance, etc.).Prepare HR-related letters such as confirmation, transfer, promotion, and warning letters.Handle HR documentation and filing in compliance with company policies and legal requirements.Update HR databases and systems with employee information and movements.Payroll & Benefits Support
Assist in preparing monthly payroll inputs (attendance, overtime, leave, allowances, deductions).Liaise with finance / payroll team to ensure accurate and timely salary disbursements.Support administration of employee benefits (medical, insurance, SOCSO, EPF, EIS, PCB).Employee Relations & Compliance
Assist in handling employee inquiries related to HR policies, leave, and benefits.Support HR in addressing disciplinary matters, grievance handling, and employee engagement activities.Ensure compliance with Malaysian Labour Law, Employment Act, and company policies.Prepare HR-related reports for management review.Training & Development
Coordinate training sessions including scheduling, attendance tracking, and feedback collection.Assist in maintaining training records and monitoring employee development plans.Support initiatives to promote employee engagement and workplace culture.Who We Are Looking For :
Diploma / Degree in Human Resource Management, Business Administration, or a related field.Minimum 1–2 years of experience in an HR or administrative support role (fresh graduates with internship experience are encouraged to apply).Basic knowledge of Malaysian Labour Laws and statutory requirements (EPF, SOCSO, EIS, HRDF).Strong organizational skills with attention to detail and confidentiality.Good interpersonal and communication skills, with the ability to interact at all levels.Proficient in Microsoft Office (Word, Excel, PowerPoint) and HRIS systems is an advantage.Able to work independently and handle multiple tasks under tight deadlines.What You Will Get :
