Key Responsibilities
Administrative Support
Monitor and update the status of execution and stamping of Tenancy Agreement (TA) and License Agreement (LA) on a weekly basis.
- Prepare standard correspondence letters to all tenants. (Eg : Non-Renewal Letter, Termination Letter, Variation Letter & etc.)
- Manage the sending and receiving of TA / LA between the tenants and lawyers.
- Assist the preparing of Leasing update for CMO meetings.
- Prepare and update Letter of Undertaking (LOU) report and initiate tenancy extension in system for billing purposes.
- Collect and record all tenant's monthly sales in the system to generate GTO Rental billing on a timely manner.
- Generate monthly reports and follow up with the leasing team on outstanding matters, including collection of deposits, signing of TA / LA, and submission of LOGs and BGs.
- Record deposit payments and manage transfer or refund processes as needed.
- Update the Letter of Guarantee (LOG) Report regularly.
- Ensure timely renewal and safekeeping of all original Bank Guarantees (BG) from tenants.
- Collect and verify tenant's audited sales report for accurate invoices / credit note when there are GTO rental discrepancies.
- Safeguard original copies of TAs, LAs, LOGs, and BGs in an organized manner.
- Maintain and regular update the tenant contact list.
- Handle filing, correspondence, and tenancy administrative tasks on a daily basis.
- Provide general administrative support to leasing team, particularly with Tenancy Agreement milestones and document coordination.
Perform any other duties, which may be assigned or directed by the line of report from time to time. 2.
Lease Management
Coordinate with panel lawyers for company searches and preparation of TAs / LAs.
Perform CTOS search upon receipt consent letter.Ensure accuracy of legal terms in TAs / LAs in line with approved management terms.Assist in drafting special tenancy clauses as required.Liaise with Group Legal, Group Lease Management, and Group Leasing to obtain approval on special conditions.Track and ensure all TA / LA are sent to tenants for execution within the standard timeline.Collaborate with Group Lease Management to ensure compliance with SOPs and support standardization efforts.Job Requirements :
Professional Certificate / Diploma / Advance Diploma in Business Studies, Administration, Management, or equivalent.Minimum of 2 years' experience in the related field.Knowledge of principles and practices of basic office responsibilities and organization.Knowledge of lease administration functions would be an added advantage.Good command of both written and spoken English and Bahasa Malaysia.Computer literate with good knowledge of Microsoft Office applications.Possess a mature and responsible attitude to work.Pleasant in personality with good interpersonal and follow-up skills.Demonstrate sound work ethics and maintain strict confidentiality in performing the duties.Be able to work under minimum supervision with sense of responsibility and urgency.
