Shipping Documentation Assistant

What You Will Be Doing

Operational Coordination

  • Ensure accurate and timely billing in accordance with quotations provided.
  • Coordinate with shippers, carriers, and overseas counterparts on Bills of Lading (BL), Debit Notes (DN), and Invoices (INV).
  • Provide final BL and export permits to shippers, ensuring compliance with regulations.
  • Manage pre-alerts and shipping documentation, ensuring all paperwork is properly prepared and submitted.

Documentation & Tracking

  • Prepare and execute Bills of Lading (BL), ensuring accuracy and compliance with shipping regulations.
  • Maintain detailed records of all shipping documents and transactions in the system.
  • Respond to customer, shipper, and overseas agent inquiries regarding shipment status via email.

    • Problem-Solving & Support

  • Address and resolve documentation-related issues promptly to ensure smooth shipment processing.
  • Provide backup support for team members on leave or medical leave.
  • Perform any other duties assigned by the management to support operational needs.

    • What We Are Looking For

  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Strong attention to detail, with excellent organizational and communication skills.
  • Ability to multi-task and work under tight deadlines in a fast-paced environment.
  • 1-2 years of experience in shipping documentation or freight forwarding is preferred but not mandatory.
  • Immediate availability is advantageous.
