The Project Administrative Executive is responsible for assisting the Project Manager and Contract Department in day-to-day administrative duties to ensure the smooth operation and quality completion of projects. The role involves managing project documentation, coordinating with internal and external stakeholders, and providing comprehensive administrative support to the department.
Responsibilities and Duties
Project & Documentation Support
- Assist in tracking, managing, and documenting project records and documentation.
- Provide support during the tender evaluation and bidding process.
- Assist with project management tasks, including updating project calendars, coordinating with contractors, consultants, and other relevant parties.
Administrative & Coordination Functions
Manage the department's daily activities and provide administrative support (e.g., coordinating events, meetings, communications, and handling information requests).Oversee the upkeep of the department's facilities, equipment, and stationeries to ensure smooth operations.Maintain proper filing systems and ensure accurate record keeping.Perform general clerical work as required.Departmental Support
Assist the Head of Department (HOD) with calendar management, travel arrangements, and meeting / event coordination.Act as liaison between the department and other internal departments.Support the department in special assignments, ad-hoc functions, and related duties as required.General Duties
Ensure adherence to all company policies, procedures, and work instructions as outlined in the Company's Quality Management System (QMS).Undertake any other duties assigned by superiors or management from time to time.Job Requirements
Bachelor's degree in Construction Management, Civil & Structural Engineering, or a related discipline.Minimum 2 years of working experience in a related field.Strong knowledge of construction / project administration with the ability to work independently under minimal supervision.Excellent organizational, planning, and time management skills.Strong interpersonal and client-facing skills, with the ability to coordinate and motivate a team to meet tight deadlines.A proactive team player who is also capable of working independently in a fast-paced environment.Job Types : Full-time, Permanent, Fresh graduate
