Overview
Gaoya Furniture Industries Sdn. Bhd., a leading furniture manufacturer, is seeking a talented Purchasing Executive to join our dynamic team. This full-time role will be based in Sungai Jawi, Penang, and will play a crucial part in expanding our international market presence.
Responsibilities
- Sourcing & Cost Management : Manage and execute the full cycle of purchase orders—from receiving purchase requisition to processing orders, sourcing new suppliers, obtaining quotations, negotiating prices, supplier selection, issuance, and delivery tracking.
- Supplier Sourcing & Evaluation : Identify, assess, and select reliable suppliers that meet the company’s quality and cost standards.
- Negotiation & Cost Optimization : Negotiate pricing, contracts, and terms considering stock availability, lead time, payment terms, product quality, and logistics costs. Prepare quotation comparisons for management review and approval. Analyze purchasing data to identify cost-saving opportunities and improve efficiency.
- Supplier Coordination : Ensure smooth and timely delivery of products, resolve sourcing-related challenges, cross-check deliveries against purchase orders, and ensure invoices align with agreed pricing and quantities.
- Supplier & Inventory Management : Monitor supplier performance, conduct regular reviews, address issues or discrepancies promptly, maintain strong supplier relationships to ensure timely delivery, quality assurance, and cost-effectiveness. Implement inventory management systems to minimize stockouts, excess inventory, and carrying costs. Support cost-saving initiatives by identifying opportunities for better pricing, bulk deals, and favorable credit terms.
- Production & Operational Support : Collaborate with production, warehouse, and logistics teams to align procurement with manufacturing schedules to avoid shortages or overstocking. Forecast material demand based on production plans and market trends. Proactively resolve supply chain disruptions, including delays, defects, and shortages. Generate and present procurement reports, cost analyses, and supplier performance evaluations to management. Work closely with finance, operations, and production departments to align procurement strategies with overall business goals.
- Collaboration with Product Development : Work with design & R&D teams to ensure sourced products meet required trends and colors. Request and follow up on material samples from suppliers within the required lead time.
- Documentation Management : Ensure procurement-related documents are properly filed and maintained for audit and tracking purposes. Maintain comprehensive and up-to-date procurement records, contracts, and supplier databases.
Qualifications
Diploma or Bachelor’s degree in Supply Chain Management, Business, or a related field.Minimum 3 years of procurement experience, preferably in furniture manufacturing or a related industry.Strong knowledge of raw materials (wood, upholstery, hardware, etc.) and manufacturing processes.Proficiency in ERP systems (e.g., Assembly) and procurement software.Good negotiation, analytical, and problem-solving skills.Excellent command of English and Malay. Mandarin speakers will be preferred as this role requires extensive correspondence with China counterparts or suppliers.Able to commence work on short notice.What we offer
