Job description :
- Manage Documents
- Organize and maintain all quality-related documents (e.g. SOPs, work instructions, manuals, forms).
- Ensure documents are properly filed (physical / digital) and easy to find.
- Track Revisions & Versions
- Monitor updates, approvals, and changes to documents.
- Remove or archive outdated documents following procedures.
- Distribute & Retrieve Documents
- Distribute updated documents to relevant departments.
- Collect outdated versions to prevent incorrect usage.
- Ensure SOP Compliance
- Help departments follow the correct procedures.
- Report any unauthorized changes or misuse of documents.
- Support Document Change Process
- Assist in handling change requests and updating documents.
- Maintain records of all document changes and approvals.
- Keep Records
- Log document approvals, revisions, and issuance history.
- Ensure documents are kept according to the required retention period.
- Support QA Administration
- Assist in preparing reports, non-conformance reports (NCRs), and quality logs.
- Create or update training materials, checklists, and forms when needed.
- Help consolidate and update QA documents to ensure accuracy and completeness.
- Coordinate Across Departments
- Liaise with departments like Production, Warehouse, and Engineering to ensure they use the latest documents.
- Work with all departments to ensure all required documentation is ready and complete.
- Maintain Document Control Procedures
- Develop, implement, and improve document control procedures.
- Handle document tracking, receipt, filing, and timely submission.
- Perform general document control and administration tasks.
- Report administrative updates to the QA team.
- Quality & Risk Management Support
- Assist in quality-related activities and support the QA team in all matters.
- Help identify and reduce quality risks.
- Ensure Quality, Health, Safety, Security, and Environmental (QHSSE) elements are considered in all work.
- Other Duties
- Carry out other tasks assigned by your supervisor, within your capability.
