Job Summary
We are seeking two proactive and highly organized Executive Assistants to support the Director in a dynamic and fast-paced environment. This role involves providing comprehensive administrative and secretarial support, handling confidential business matters, and assisting with operations and coordination.
Key Responsibilities
- Provide full spectrum of secretarial and administrative support to the Director.
- Manage Director's calendar, schedule meetings, screen calls, emails, and other correspondences.
- Assist in handling confidential business matters with discretion and professionalism.
- Prepare documents such as proposals, meeting notes, project timelines, and reports.
- Support claims submission, expense tracking, and follow-up on pending tasks.
- Liaise with internal and external stakeholders, including vendors and suppliers.
- Oversee office administration and event coordination tasks.
- Monitor and manage office supplies and equipment required for the Director's office.
- Adapt to the Director's working pace, style, and priorities.
- Develop effective working relationships across teams to achieve business outcomes.
- Support marketing and merchandising tasks (experience in these areas will be an added advantage).
- Travel within the Klang Valley as required.
Job Requirements
Minimum Diploma in Business Studies, Administration, Management, Secretarial, or equivalent.At least 5 years of relevant working experience is preferred.Strong interpersonal, communication, and organizational skills.Able to multitask, prioritize, and manage time efficiently.Professional, discreet, and capable of managing sensitive information.Flexible, proactive, resourceful, and adaptable to changing demands.Ability to work well under pressure and meet tight deadlines.Proficiency in Mandarin (spoken and written) is an added advantage.Possess own transport and willing to travel within Klang Valley.
