To provide administrative assistance to the Engineering Manager, ensuring the department functions efficiently.
Key Responsibilities
Prepare standard administrative correspondences.Manage appointment schedules and coordinate departmental meetings.Handle calls, messages, and appointment arrangements.Prepare monthly reports, visit reports, letters, CERs, and memos.Maintain and update the department's filing system.Manage stationery supplies, including ordering and distribution.Collect and distribute incoming mail and documents.Liaise with service providers for office equipment and billing matters.Assist with travel arrangements (air tickets, hotel bookings).Provide administrative support for committees, task forces, and meeting minutes.Ensure good housekeeping standards in the office and meeting rooms.Serve as back-up telephone operator / receptionist when required.Update records and documentation related to ISO & TS requirements.Coordinate preventive maintenance schedules and update records.Prepare, follow up, and update weekend maintenance tasks.Assist with overtime records, annual leave applications, and MC submissions to HR.Maintain daily downtime and shift reports for maintenance activities.Requirements
