Job Purpose - As our Payroll Executive, you will assist the HR team in maintaining the school’s payroll processes. You will need to perform and prioritise multiple tasks in a fast-paced, high-volume environment. You are responsible for processing and carrying out all transactions related to payroll and liaising with various Government Departments (Lembaga Hasil Dalam Negeri, EPF, SOCSO etc).

Job Description
Ensuring all payroll transactions are processed efficientlyCollecting, calculating, and entering data to maintain and update payroll informationCompiling summaries of earnings, taxes, deductions, leave and non-taxable wages and reporting on thisResolving payroll discrepanciesMaintaining payroll operations by following policies and proceduresDeveloping ad hoc financial and operational reporting as neededEnsuring that statutory payments are compliant with current legislationsSpecific Duties and Responsibilities
Preparation of the monthly payroll including : extracting the hours (through time sheets) worked by the part-time employees, ASA payments and overtime payments. Inputting the required information into Quickpay. Checking the payroll, distributing payslips; month end reporting and reconciliations.Ensuring Real Time Information reports are made in accordance with payroll deadlines.Ensuring the calculation of all salary deductions are made accurately and that payments to the appropriate authorities are made on a timely basis.Registration of employees for all relevant statutory contributions as well as opening of HSBC Bank.Maintenance of all salary records to meet statutory requirements.Year-end processing of EA for all current staff as well as leavers.Liaising with Heads of Departments in order to ensure that all relevant documentation is received and processed relating to New Starters, Leavers and any other contractual changes.Calculation of employees’ entitlement to Sick Leave or Unpaid Leave for Teachers for salary computation.Dealing with routine pay and statutory queries from staff.Attend relevant training courses to keep up to date with legislation and processes.Assist with adhoc investigations and reports.End to end processing of monthly payroll.Ongoing maintenance of payroll system and leave planning system.Updating and maintaining payroll records.Liaising with staff and management on payroll related queries.Interpreting awards / agreements and contracts in relation to overtime, shift allowances etc.Undertaking required reporting, both internal and statutory reporting.Handle in & out of staff accommodation and flight mattersPayroll Briefing – setting up new starters (non-resident tax application) and leaver (non-resident / resident tax application & EPF withdrawal).Calculation and payment of termination payments.Processing increases and calculation of back pays.Processing of Year-End Tax filing, Tax Clearance and Refunds as well as EPF withdrawalsHandle benefits administration i.e. Employee’s medical insurance & etcHandle learning & development administrationHandle the HRD Corp Fund administration & monitor levy balance utilisationCompliance Reporting
Prepare and / or complete various mandated reports / trackers / updates on the following : Monthly payroll Report; FTE Report; Salary payments to employees with valid Employment Visa; All expat employees registered with HSBC Bank; New Hire and Leaver; Reports on EPF increases / decreases; List of Employees on Accommodation AllowancesMaintain and update as needed statistical information on diversity make-up for internal use and reporting requirements.Knowledge Management
Place key documents on the Shared drive, including policies, templates, forms, contact lists, etc.Maintain the e-filing system of shared network drives : saving all relevant information to the designated location.Respond to information requests from colleagues / employees in a timely manner.Performs other duties as assigned.Personal Specifications

Minimum qualification is Bachelor’s Degree (Business Administration / Account / related)Five plus (5+) years of experience in full cycle payroll and benefit procedures.Good understanding of organization structures, HR operational policies and procedure including human resources systemsDemonstrates good relationship building and management skills.Highly developed communication skills, written, listening and speakingAble to work autonomously and get on with the workQuickpay (HR2000), SuccessFactors(SAP)Personal Attributes
