We are looking for a detail-oriented and proactive Operations & Admin Executive to manage various regulatory, legal, and administrative functions within the organization. This role requires strong organizational skills, attention to compliance, and experience handling documentation in a healthcare setting.
JOB DESCRIPTION :
1. Regulatory & Licensing
- Assist in clinic license applications, renewals, and any government-related submissions (e.g., BOMBA, local councils, MOH).
- Maintain up-to-date records of all licenses and ensure timely renewals to avoid compliance issues.
2. Tenancy & Rental Agreements
Prepare, review, and manage documentation related to rental agreements for clinic and office premises.Track agreement expiry dates, renewals, and coordinate with landlords or agents as needed.3. Hire Purchase Agreements
Handle all administrative work related to hire purchase agreements for vehicles and equipment (medical machines).Maintain proper filing and follow-up on instalment schedules, ownership documents, and insurance.4. Insurance Policy
Manage and update fire insurance policies for all company premises.Ensure timely renewals, claims (if any), and proper recordkeeping of all insurance documents.5. Stamping & Document Compliance
Prepare and process stamping of legal and financial documents as required by regulatory authorities.Ensure all relevant agreements and contracts are properly stamped and compliant with legal requirements.6. Legal Liaison
Liaise with the company lawyer on preparation and review of legal documents such as agreements.Ensure legal documents are properly filed and updated.7. General Admin Support
Support day-to-day admin tasks, such as filing, document tracking, and correspondence.Liaise with internal teams and external parties (authorities, vendors, landlords) as required.REQUIREMENTS :
Experience in the healthcare industry, particularly with licensing and legal documentation, is preferred.Strong organizational and multitasking abilities.Excellent verbal and written communication skills in Malay and English.Proficient in Microsoft Office (Word, Excel, PowerPoint).Able to work independently and collaboratively across departments.High attention to detail and a proactive, problem-solving attitude.Must possess a valid B2 or D driving license.Work Location : Bukit Jelutong, Shah Alam
