Assistant to the Director – Responsibilities
1. Assist the Director in daily operations and management tasks, and follow up on the implementation progress of major decisions and key projects.
2. Draft, organize, and review internal company documents, meeting minutes, and reports.
3. Arrange and coordinate the Director's meetings, schedules, and visitor receptions.
4. Facilitate communication and coordination among departments to ensure efficient collaboration.
5. Assist in the development and optimization of company policies and procedures to ensure effective implementation.
External & Government Affairs Management
1. Assist the Director in maintaining good relationships with government authorities, industry associations, and relevant organizations.
2. Monitor national and local policies and regulations, analyze their impact on the company, and provide timely reports.
3. Assist in applying for government incentives, licenses, certifications, and project approvals.
4. Assist or represent the company in government meetings, policy briefings, and public events to maintain a positive corporate image.
Group & Cross-Regional Coordination
1. Support communication and collaboration between Malaysia, China, and group companies to ensure efficient information and decision flow.
2. Coordinate translation, organization, and transmission of documents and meeting materials between Malaysia and China.
3. Assist in arranging meetings, visits, and follow-ups for both local and overseas teams.
4. Supervise and guide the administrative team to ensure smooth daily operations.
5. Assist the Director in other ad-hoc tasks and special assignments.
HR & Administrative Support
1. Assist in customer reception and coordinate catering, accommodation, and travel arrangements.
2. Oversee the administrative department’s execution of vehicle, canteen, and dormitory management.
3. Follow up on foreign worker management and related government affairs to ensure compliance and efficiency.
Job Requirements
1. Bachelor’s degree or above, preferably in Business Administration, Management, or related fields.
2. At least 5 years of relevant experience in administration or executive assistance, with experience in government liaison and client reception.
3. Proficient in Mandarin, English, and Bahasa Malaysia (both written and spoken) as this position requires to deal with the China team.
4. Outgoing personality, flexible thinking, strong communication and coordination skills, proactive attitude, and excellent interpersonal and public relations skills.
5. Able to work in our office in Pulau Indah, Port Klang .
