Handle all outlet-related documentation, including daily sales reports, attendance records, petty cash, and inventory forms.
Maintain proper filing systems (hardcopy and digital) for outlet reports, ensuring accuracy and confidentiality.
Prepare monthly operational summaries and assist in data analysis for management review.
Support administrative coordination between outlets, HQ, and relevant departments.
2. Training Team Assistance
Work closely with the Training Department to coordinate and schedule training sessions for outlet staff.
Monitor training attendance, staff progress, and effectiveness of training programs.
Assist in the preparation of training materials, SOP manuals, and performance assessment forms.
Conduct basic on-site coaching and reinforcement of company standards for new or existing staff.
Provide feedback from outlets to improve training content and delivery.
3. Audit & Compliance Checks
Conduct regular internal audits across outlets focusing on cleanliness, hygiene, service, and food handling standards.
Review cash handling procedures, documentation accuracy, and adherence to company policies.
Prepare detailed audit reports highlighting non‑compliance issues and follow‑up actions.
Collaborate with outlet management to ensure corrective measures are taken promptly.
Monitor consistency in branding, menu display, and product presentation across all outlets.
4. Trading Stock & Inventory Control
Support trading stock control, ensuring accurate stock levels and proper stock movement records.
Conduct trading stock checks and verify discrepancies between physical and system inventories.
Prepare trading reports including daily stock updates, adjustment records, and loss analysis.
Coordinate with suppliers, storekeepers, and purchasing departments for stock‑related matters.
Assist in controlling wastage, enforcing FIFO practices, and preventing pilferage.
Prepare and verify trading‑related paperwork such as delivery orders, stock transfer notes, and supplier invoices.
Ensure all trading documentation is complete, accurate, and approved before submission.
Maintain detailed trading records for audit and compliance purposes.
Coordinate with the procurement department for verification and approval of trading reports.
6. Reporting & Coordination
Prepare weekly and monthly summaries of operational findings, training progress, and audit results.
Communicate and coordinate between outlet managers, training teams, and management.
Assist in planning and execution of new outlet setups, relocations, or renovation projects.
Support ad hoc projects or assignments as instructed by the management team.
