About the role
We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive administrative support to the Executive Director at Philocity Holdings Sdn Bhd in our Kuala Lumpur office. This full-time role is a crucial position that will directly contribute to the efficiency and productivity of the Executive Director and the wider business.
What you'll be doing
- Provide high-level administrative support : manage calendars, prioritize appointments, and handle correspondence with professionalism and efficiency.
- Prepare briefing materials, reports, and presentations for meetings and training sessions, ensuring alignment with organizational objectives.
- Coordinate and schedule meetings, training sessions, and corporate events, managing all logistics for seamless execution.
- Oversee planning and execution of training programs, including participant coordination, venue arrangements, and post-event reporting.
- Collect and analyze training feedback, summarizing outcomes and providing actionable improvement recommendations.
- Manage business travel arrangements (flights, accommodation, transport) for the Executive Director, ensuring convenience and cost-effectiveness.
- Accompany the Executive Director on business trips, conferences, and training events, providing on-site support.
- Act as the primary liaison for internal and external stakeholders, maintaining effective communication and collaboration.
- Draft formal communications, business reports, and presentations with high attention to detail and collaboration.
- Organize and manage confidential records and documents, ensuring security and accessibility.
- Maintain accurate and updated schedules, reports, and training materials aligned with company needs.
- Assist with personal tasks as required, ensuring smooth operations both professionally and personally.
- Support special projects and strategic initiatives to enhance training programs and organizational objectives.
Qualifications & Experience
Bilingual proficiency in Mandarin and English with exceptional communication skills.Minimum 3-5 years of experience as an Executive Assistant, PA, or Administrative Specialist (HR / training sector experience preferred).Familiarity with training program planning and execution is advantageous.Strong organizational and multitasking abilities, with excellent time management and attention to detail.High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to handle sensitive information discreetly and maintain strict confidentiality.Proactive, adaptable, and able to work independently, with willingness to travel when required.Why join us
