The Assistant to the Managing Director provides high-level executive, operational, and strategic support to ensure the efficient management of the Managing Director’s office and the overall company operations.
This position carries high expectations , as the Assistant is required not only to manage the MD’s daily schedule and communications but also to oversee and coordinate company operations across departments , including administration, HR, manufacturing, and construction . Key Responsibilities
Executive & Administrative Support
- Manage and maintain the Managing Director’s schedule, meetings, travel arrangements, and appointments.
- Prepare meeting agendas, minutes, briefing notes, and follow‑up actions.
- Handle confidential correspondence, reports, and documents with the highest level of discretion.
- Represent the Managing Director professionally in communications with internal and external parties.
Operational & Strategic Coordination
Oversee and monitor key company operations, including HR, administration, manufacturing, and construction activities.Act as a liaison between the MD and department heads to ensure smooth execution of company strategies and operational goals.Track and report on project progress, business performance, and departmental updates.Anticipate operational issues and propose practical solutions to assist the MD in decision‑making.Human Resources & Compliance
Support HR operations such as recruitment coordination, training, employee relations, and compliance monitoring.Assist in reviewing and implementing company policies and procedures.Maintain accurate and confidential employee and operational records.Construction & Project Support
Coordinate with project managers and site teams on construction progress, schedules, and reporting.Prepare project summaries, progress updates, and documentation for MD review.Monitor deadlines, materials planning, and contractor communication.General Office & Communication Management
Draft, review, and edit business correspondence, proposals, and presentations.Manage office communication, ensuring timely dissemination of information and alignment with the MD’s directives.Ensure follow‑ups on all action items and deadlines assigned by the MD.Requirements
Bachelor’s degree or higher in Business Administration, Management, Human Resource Management, or related field.Minimum 5–7 years’ experience as an MD Assistant, Personal Assistant, Executive Assistant, or in an operations / HR managerial role.Strong understanding of company operations including manufacturing, construction, and administration .Excellent command of English, Bahasa Malaysia, and Mandarin to effectively communicate with our diverse client base and stakeholders (written and spoken).High proficiency in Microsoft Office Suite and project management tools.Strong analytical, planning, and multitasking skills.Professionalism, confidentiality, and strong interpersonal communication.Ability to work independently under minimal supervision and manage multiple priorities in a fast‑paced environment.Key Competencies
