We are seeking a versatile and dynamic IT Coordinator & IT Operations professional to join our team and play a crucial role in both project coordination and operational excellence.
KEY RESPONSIBILITIES :
1. Project Management :
- Plan, coordinate, and execute IT projects ensuring timely delivery within scope and budget
- Develop detailed project timelines, resource allocation plans, and risk mitigation strategies
- Monitor project progress using project management tools and methodologies
- Coordinate with technical teams, vendors, or stakeholders to ensure project alignment
- Conduct regular project reviews and status meetings with internal teams and clients
2. Client Management :
Serve as primary liaison between clients and technical teams throughout project lifecycleGather and document client requirements, ensuring clear communication of expectationsConduct on-site client visits for project implementations, training, and supportManage client relationships and ensure high satisfaction levelsHandle client escalations and resolve issues promptly and professionally3. Technical Coordination :
Coordinate system implementations, integrations, and technology deploymentsOversee user acceptance testing and system go-live activitiesEnsure proper documentation of technical specifications and project deliverablesFacilitate knowledge transfer sessions between technical teams and end users4. System Administration Support :
Monitor and maintain IT infrastructure including servers, networks, and cloud servicesCoordinate with technical teams on system maintenance, updates, and troubleshootingManage IT asset inventory, licensing, and compliance requirementsSupport backup and disaster recovery proceduresAssist with cybersecurity initiatives and compliance monitoring5. Help Desk & User Support :
Provide first-level technical support to internal staff and clientsCoordinate with technical specialists for complex issue resolutionCreate and maintain user guides, documentation, and knowledge base articlesConduct basic user training on software applications and IT procedures6. Vendor & Procurement Management :
Coordinate with clients or vendor for hardware, software, and service procurementManage clients or vendor relationships and service level agreementsProcess purchase orders and track IT-related expensesEvaluate clients or vendor proposals and support decision-making processes7. Administrative Excellence :
Maintain comprehensive digital and physical filing systemsPrepare reports, presentations, and documentation for managementCoordinate meetings, take minutes, and track action items8. Process Improvement :
Implement best practices for project management and operational efficiencySupport the development and maintenance of IT policies and proceduresAssist with quality assurance initiatives and process documentation9. Cross-functional Collaboration :
Liaise with HR, Finance, and other departments on IT-related initiativesSupport recruitment activities for IT positions including technical assessmentsCoordinate with external auditors and compliance officers as neededFacilitate communication between technical and non-technical stakeholdersREQUIRED QUALIFICATIONS :
1. Education & Experience :
Bachelor's degree in Information Technology, Computer Science, Business Administration, or related field1-5 years of experience in IT coordination, operations, or project managementProven experience working in a client-facing role within the IT industry2. Technical Skills :
Proficiency in project management tools (e.g., Microsoft Project, Jira, Asana)Strong understanding of IT infrastructure, networks, and cloud servicesExperience with help desk systems and ITIL frameworksKnowledge of database management and software applications3. Core Competencies :
Excellent written and verbal communication skills in English and Malay, extra if you can speak in Tamil.Strong analytical and problem-solving abilitiesExceptional organizational and time management skillsAbility to manage multiple projects and priorities simultaneouslyCustomer service orientation with strong interpersonal skillsPrevious experience in a managed services or consulting environment4. Working Conditions :
Full-time position with occasional evening or weekend work during critical projectsRegular travel to client sites as required (estimated 20-30% travel)Collaborative office environment with cross-functional teamsValid driving license and willingness to travel to client sites5. Career Development
