Responsibilities :
- Checking meal allowance and medical claims
- Monitoring monthly staff attendance records closely
- Ensure leave update done on timely basis
- Maintain all confidential data and important P&C documentation with integrity manner
- Maintenance of system / software (attendance / thumb print) – new registration and deletion from the system
- Prepare and maintain standard ad-hoc reports, queries and conduct appropriate audits to ensure data integrity
- To carry out any other duties and job function from time to time as instructed by the Head of Department
- Administrative and any other ad-hoc tasks given from time to time
- Assist in resolving all administrative related problems
- Organize and maintain proper filling system in server
- Vendor Management & Office Administration (Adequacy of Stationary / Provisions / Refreshments / adequacy of Sub Staff) Courier & Dispatch (Inward / Outward / Outstation) / also making record of Local maintaining
- Coordinate & liaise with IT vender to resolve IT issues. Maintenance of computer system network, software or server issues, folder and email creating / deletion
- Organizing & coordinate all functions of the organization, arranging company outings
- Keeping track of cycle of all maintenance contracts
- Co-ordination and maintenance of systems related to housekeeping
- Maintaining, tagging and updating assets record
- Ensure company license and insurance renew on time and compliance to Government requirement
- Monitoring utility, office maintenance. Ensure operation of equipment by coordinates any required repairs to office equipment.
- Monitoring cleanliness of building, pantries, meeting room and walkway and security support
- Maintain and purchase of office supply inventories, order of stationery, business name card etc
- To monitor all the asset of Company
- Pantry & company general affairs management.
- Oversees the company administrative matters and upkeeping of Company facilities and equipment
Requirements :
Candidate must possess at least a Diploma, Advanced / Higher / Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, Finance / Accountancy / Banking, Human Resource Management, Business Studies / Administration / Management, Secretarial or equivalentAt least 3 year(s) of working experience in the related field is required for this position. Preferably Senior Executives specializing in Clerical / Administrative Support or equivalentGood problem-solving skillAbility to multitaskAble to meet stringent reporting deadlines and handle corporate reporting responsibilitiesAn independent person with high degree of maturity, integrity & initiativeComputer literate with good knowledge of Microsoft Office and computerized accounting software, knowledge in Info-Tech HRMS will be added advantageHighly independent person with a sense of urgency, responsibility and result orientedA team player who is dynamic with mature personality, independent and able to work under pressureRequired language(s) : Bahasa Malaysia, English and Mandarin will be added advantagesApplicants must be willing to work in UOA Business ParkAbout the company :
