Overview
We are seeking a Human Resources Executive to oversee end-to-end HR processes and support regional operations between Malaysia and Singapore. The role covers recruitment, onboarding, payroll, benefits, compliance, HR administration, employee relations, performance management support, training and development, and related HR duties.
Responsibilities
- Oversees end-to-end the recruitment process : job postings, screening, interviews, and selection.
- Coordinate the onboarding process including documentation, orientation, and induction for new hires.
- Establish and improve the management of employee records and personal files.
- Payroll and benefits – Assist in monthly payroll processing in compliance with Malaysian and Singaporean statutory requirements (EPF, SOCSO, EIS, PCB, CPF, FWL, SDF, IR8A, SDL, etc.). Manage employee benefits including leave, medical, insurance, and claims. Handle claims and training grants, such as HRDF (Human Resources Development Fund).
- HR Compliance & Statutory Requirements – Ensure compliance with employment laws and regulations in Malaysia and Singapore. Keep updated with changes in statutory obligations (e.g., MOM, LHDN, PERKESO). Maintain employee records in accordance with legal and audit requirements.
- HR Administration and reporting – Prepare HR-related letters (offer, confirmation, warning, resignation acceptance, etc.). Maintain and update the HR software and employee records. Prepare HR reports (headcount, leave, overtime, HR Dashboard, etc.). Support audits, internal / external, and provide necessary documentation.
- Employee relations and Engagement – Assist in handling disciplinary issues, grievances, and investigations. Support employee communication and engagement activities. Organize staff welfare, engagement programs, and team-building events.
- Performance Management Support – Assist in probation review, confirmation, annual performance appraisal coordination. Assist in defining KPIs and training needs identified through performance discussions.
- Training and Development – Coordinate internal and external training programs. Maintain training records and support claim submissions. Liaise with external agencies to handle work permit, employment pass, SPass applications, renewals, and cancellations for Singapore.
- Other duties – Complete and prepare tasks assigned by superior leaders and assist the company in achieving annual goals (such as preparing the HR budget and managing staff insurance). Assist in staffing and resource planning.
Job Requirements
Diploma or Degree in HR, Business Administration, employee relations or related field.3–4 years of working experience in all-rounded HR functions or an HR generalist role. Prior experience in payroll, recruitment, and work pass management preferred.Knowledge of employment laws and statutory requirements (both Malaysia & Singapore).Proficient in Microsoft Office and HR software / system (preferably SAP).Required Languages : fluent in English and Bahasa to communicate effectively in our diverse workplace environment. Good communication in Mandarin is welcome.Willing to travel (between Malaysia and Singapore) if overseeing regional operations.Ability to handle confidential information with discretion and professionalism. Ability to multitask and meet deadlines. High sense of responsibility, patience, and ability to withstand pressure.About the Company
