Legal and Compliance Operational Excellence Officer (KL)

About The Opportunity :

We are seeking a highly motivated candidate to join our high-achieving team in KL This role will be responsible for monitoring the legal requests from our internal stakeholders in the internal system. You will be the main point of contact to liaise with the internal legal team for all.

Responsibilities :

Process Improvement for Legal and Compliance Operations

  • Continuously assess and improve internal processes related to the operation and administration of the legal and compliance department.
  • Identify opportunities to streamline workflows, reduce bottlenecks, and enhance overall efficiency.
  • Implement best practices and provide recommendations for process automation where applicable.
  • Sorting email for the legal department and ensuring that they arrive at the appropriate internal recipient.

Data Gathering and Analysis

  • Gather and analyze operational data relevant to legal and compliance functions.
  • Conduct research and data mining to support decision-making and strategic planning.
  • Present insights from data analysis to key stakeholders in a clear and actionable format.
  • Internal Systems Management and Optimization

  • Oversee the operation of internal company systems used within the legal and compliance department.
  • Collaborate with IT or relevant departments to enhance and optimize existing systems for better performance, accuracy, and ease of use.
  • Ensure that internal systems are compliant with company standards, regulations, and security protocols.
  • Independent Point of Contact for Data Mining and Analysis

  • Act as the primary point of contact for data mining and analysis requests within the department.
  • Provide expertise and support in extracting, processing, and analyzing data from various sources.
  • Serve as a resource for colleagues needing assistance with data-related inquiries.
  • Vendor Invoice Management and Payment Processing

  • Review and manage the filing and processing of invoices from external vendors, such as lawyers and corporate secretarial providers.
  • Ensure that payments are processed on time and in accordance with company policies and budgetary guidelines.
  • Liaise with the finance department to ensure accuracy and resolution of any discrepancies.
  • Cross-Department Communication and Collaboration

  • I'd like for you to maintain clear communication with multiple departments to ensure the timely completion of tasks and the resolution of any operational issues.
  • Coordinate with other teams to ensure that legal and compliance-related objectives are met effectively.
  • Act as a liaison to ensure that the department's objectives are aligned with broader company goals.
  • Requirements :

  • Fresh graduates with a Bachelor's in engineering background (preferably, Electrical Engineering / Mechanical Engineering), finance or accounting are most welcome. Any other non-arts majors are also welcome to apply.
  • High analytical and critical mind.
  • Legal education is a plus but not mandatory.
  • Highly adaptable and able to navigate in a fast-paced and demanding 'start-up' environment.
  • Cultural awareness and experience working in a multicultural environment.
  • Fluent in English and concise in presentation.
  • Detail oriented in task handling.
