Role Overview

We are seeking a highly motivated and independent Office Manager to oversee daily office operations and ensure the smooth running of our newly established office in Malaysia. This is an exciting opportunity for a proactive professional who enjoys taking ownership, managing multiple priorities, and creating an efficient, well-organized workplace environment.

As our Office Manager, you will play a key role in supporting the Head of Office, coordinating an internal team, and ensuring our office is fully operational, comfortable, and compliant with company standards. You will also collaborate closely with our Headquarters in Singapore to help implement regional initiatives and align with company-wide processes.

Key Responsibilities

  • Oversee day-to-day office operations, ensuring efficiency and a positive working environment.
  • Manage office setup, facilities, and vendor relationships as we settle into our new premises.
  • Coordinate with internal teams and external partners to ensure smooth execution of administrative and operational tasks.
  • Support the Head of Office with administrative duties, scheduling, and general coordination.
  • Collaborate with the HQ team in Singapore to implement initiatives and maintain alignment with regional standards.
  • Manage office supplies, equipment maintenance, and service contracts.
  • Assist with onboarding logistics for new employees and manage visitor arrangements.
  • Help foster a collaborative, well-organized, and professional office culture.

Requirements

  • Proven experience as an Office Manager, Administrative Manager, or in a similar role.
  • Strong organizational and problem-solving skills with a proactive, hands-on approach.
  • Excellent communication and interpersonal abilities.
  • Ability to manage multiple priorities independently with minimal supervision.
  • Experience supporting senior leaders or managing small teams (directly or indirectly).
  • Fluent in English and Bahasa Malaysia (spoken and written).
  • Proficiency in Microsoft Office / Google Workspace tools.
  • Strong coordination skills for cross-border collaboration with HQ in Singapore.
