Position Summary :
The Office Administrative Executive is responsible for managing the company’s day-to-day office administrative, and operational functions to ensure smooth and efficient business operations. This role involves handling office administration, coordination of operational matters, and assisting management in executing company projects and ad-hoc assignments.
1. Office Relocation / Moving Projects
- Plan, coordinate, and oversee office relocation or expansion projects.
- Liaise with contractors, movers, and service providers to ensure timely and smooth transitions.
- Manage office layout planning, furniture setup, and facilities readiness.
- Oversee transfer or registration of utilities, licenses, and address updates with relevant authorities.
2. Office Operations & Administration
Oversee daily office operations, including maintenance, supplies, and vendor coordination.Manage office equipment, stationery, and pantry inventory.Manage and resolve issues related to office rental, utilities, facilities, repairs, and access control.Ensure office cleanliness, safety, and overall workplace organization.Assist in onboarding and offboarding processes, including workspace setup, access cards, documentation, and related administrative tasks.Support with staff engagement activities, events, and welfare matters.Assist in day-to-day office operations and administrative coordination.3. Documentation & Record Management
Maintain and update company records, files, and databases.Handle confidential information securely and professionally.5. Compliance & Licensing
Maintain and renew business licenses, insurance, permits, and other regulatory documents.Ensure compliance with company policies, safety standards, and local regulations.6. Ad-Hoc Tasks
Undertake any other administrative or operational duties as assigned from time to time.Requirements
Minimum 3 years of relevant administrative experience.Proven experience in handling office setup or relocation projects.Strong organizational, multitasking, and attention to detail.Positive attitude, proactive, and able to work independently with minimal supervision.
